Overview
CRM automation connects a business event to an agreed record or staff action. A form submission might create a contact, a conversation might prepare a task, or an approved update might move a record to its next stage. The rules should reflect your team’s process instead of treating every new message as permission to change the database.
ChuuniX scopes the source, destination and owner of each change before building. We examine how your team identifies a record, handles incomplete information and resolves conflicting updates. AI can help prepare summaries or draft replies where useful, but ordinary rules are often enough for a task that already has a clear decision path.
What we set up
Records from forms and chats need consistent field definitions. Agree which information is required, how an existing contact is matched and what happens when the same inquiry arrives again. A workflow should distinguish new information from a duplicate event rather than create another record each time a connected system retries a request.
Tasks, reminders, stage changes and reports can follow explicit business rules. Define what starts the action, which staff member owns it and what counts as completion. A report can organize recorded information without presenting an AI interpretation as a verified commercial outcome. Staff should be able to inspect the underlying records and correct them.
CRMs such as HubSpot, GoHighLevel, Zoho or any CRM with an API
CRMs such as HubSpot, GoHighLevel or Zoho are examples to discuss, along with other systems that expose an appropriate API. We check the account tier, permissions and supported actions before confirming feasibility. An API’s existence does not guarantee that every field, trigger or action is available for your workflow.
Tools such as Google Sheets, Zapier, Make or n8n may be useful around the CRM, depending on the task. The scope records where each rule lives and who controls its credentials. We do not imply vendor certification, a partner relationship or an out-of-the-box integration by naming these examples.
Adding AI with approval
AI can prepare a summary of an inquiry or draft a reply from approved information. Separate the generated suggestion from the action that writes or sends it. A staff member may need to approve the result, especially when the message concerns pricing, a commitment or sensitive customer information. The application should enforce that approval step.
Summaries should distinguish what the customer actually said from uncertain interpretation. A proposed update should show the relevant fields and avoid replacing authoritative information with a generated guess. Our lead follow-up service focuses on the conversation and handoff; this engagement defines how those events affect the system of record.
Data and permissions
Limit the integration account to the records and actions needed for its task. Read access, record creation and destructive changes are different permissions. Document who can edit the workflow and who receives an alert when it fails. Keep credentials out of prompts and ordinary conversation history, and agree how access is removed when responsibilities change.
Customer data may travel through several processors when an AI step is added. Map that path with your DPO or responsible adviser before connecting live records. The privacy guide supports that discussion. Security testing should examine the actual account boundaries rather than rely on a model’s written promise not to disclose information.
Keep records recoverable
A workflow needs a way to handle partial completion. If a contact is created but a task fails, retrying the whole sequence should not blindly create another contact. Agree how the implementation recognizes an existing operation, records its status and gives staff enough context to recover without repeating an irreversible action.
Test invalid fields, expired credentials, duplicate events and changes made by staff while the workflow is running. The handover should explain which system is authoritative when information conflicts. Where the process crosses other applications, workflow automation can address the wider sequence and its exception handling.
Built right and secure
Every build gets the same prompt-injection and data-access checks we offer as a standalone review. We examine the agreed feature, its source information and the actions it is permitted to take. Access is enforced by the surrounding application and connected tools; telling a model to keep information private is not an authorization check.
A security check does not guarantee that a system cannot fail. We define human approval, handling for uncertain output and a route for unsupported requests. Read about our AI security review and the Data Privacy Act and AI guide before deciding what customer or employee information the workflow should process.
What's included
The quotation identifies the workflow, sources, systems, approvals and test environment. Agreed deliverables include implementation, representative tests, access configuration, operating instructions and handover. We document connected accounts, known limits, staff escalation and how to pause the workflow.
Source preparation, AI usage, support and later changes are distinguished in scope. Scoped quote after a free discovery call.
How it works
Start with a free discovery call. We work remotely worldwide, with in-person meetings in Metro Manila. Scope English, Filipino and Taglish using approved examples. Describe the task, its owner and confusing cases. Agree permissions and tests before live access, using sample data and a test environment while behavior is developed.
- Discovery: discuss the current task, source information and people who own the result before choosing an implementation.
- Scope: agree the workflow, permissions, human approval points and tests your team will use to assess behavior.
- Build and test: evaluate real examples, missing information, hostile instructions and recovery in the agreed environment.
- Launch and hand over: document ownership and staff handoff, then agree any optional AI Care Plan coverage.
Scope and next steps
Scoped quote after a free discovery call. Tell us which task you want to improve, which information staff rely on and where approval is required. Use anonymized examples for the initial discussion. Our published PH pricing guide explains third-party price references and the factors to compare; it does not quote ChuuniX prices.
AI Care Plan / support after launch
Post-launch support is available on a retainer covering monitoring, updates, moving to new models as they become available and security updates. The AI Care Plan defines what is included rather than implying unlimited changes or an always-available support team. Knowledge updates, model and provider changes, and security re-checks are agreed against the workflow your team actually operates.
Keep a named owner for source information, connected accounts and human approvals. We agree how incidents are reported, which changes need a new scope and what is re-tested before release. AI usage and support work are distinct parts of the engagement. Scoped quote after a free discovery call.
FAQ
Can you automate our existing CRM?
We first check its available API, account permissions and the actions your process requires. CRMs such as HubSpot, GoHighLevel and Zoho are examples, not a promise of ready-made support. Feasibility is confirmed during scoping, including how the workflow identifies records and handles failed or repeated events.
Do we need AI for every automation?
No. A predictable rule, field mapping or reminder may not need a model. AI is considered where interpreting an inquiry, preparing a summary or drafting a response is useful. We separate those suggestions from approved database actions so ordinary process rules remain explicit and understandable to the team maintaining them.
Who approves changes to customer records?
The scope identifies which changes are automatic and which require a person. Your team owns that decision, and the implementation should enforce it outside the model. We define relevant fields, permitted users and exception handling so staff can investigate a proposed update instead of relying only on generated text.
Can staff maintain the workflow afterwards?
Technical handover explains the agreed workflow, configuration, connected accounts and known limits. We identify where rules are stored and who can change them. An optional AI Care Plan can cover agreed monitoring and updates, while your team retains ownership of business rules and approval decisions after the build is delivered.
How do you quote a CRM project?
Scoped quote after a free discovery call. We discuss the current records, events, required actions and data boundaries before proposing implementation. Testing, handover, AI usage and optional support are identified in the engagement. We do not publish an invented project price or assume every CRM account exposes the same capabilities.
