Overview
Lead follow-up automation organizes the inquiries your business already receives. It can prepare an initial response, ask approved qualifying questions and route the conversation to the right person. ChuuniX builds the workflow around the sources, permissions and decisions your sales team uses rather than promising a new supply of leads.
The assistant’s role is defined before implementation. Your team decides which information it may request, which messages it may send and when it must stop and ask for help. Sales judgment remains with people, especially when a conversation involves pricing, negotiation or commitments that are outside approved information.
What gets automated
An incoming inquiry can trigger an acknowledgment based on an approved template, followed by relevant qualifying questions. The workflow can organize the information already provided, avoid asking for it again and prepare a summary for staff. Define what counts as a complete handoff without treating a model’s impression of a prospect as a final business decision.
Routing can follow explicit rules such as the service requested or the responsible team. Drafted follow-ups can wait for approval before they are sent. A CRM update should identify the record, proposed fields and permitted action; it should not silently overwrite an agent’s notes or turn incomplete information into a confirmed deal.
What stays with your team
Pricing, negotiation and closing stay with your team. An assistant can present approved information, but it should not invent discounts, confirm availability or agree a contract because a prospect asks confidently. Where an answer depends on a person’s judgment, the workflow prepares context and routes the request instead of claiming authority it does not have.
Staff also own decisions about whether and when to follow up. Define consent, communication preferences and stop conditions before automating messages. A person should be able to pause the workflow, correct an inaccurate summary and see what was sent or proposed. Automation should make ownership clearer rather than create an unmonitored conversation.
Works with tools such as…
Tools such as HubSpot, GoHighLevel, Google Sheets, Zapier, Make or n8n are examples for scoping. We check available APIs, account permissions, triggers and data fields before confirming the connection. These examples do not imply a partnership, certification or connector that works without configuration in your account.
A simple workflow might organize a form submission and create a staff task. A more involved build can connect an inbox and a CRM, subject to the systems’ interfaces and your access rules. Explore CRM automation for record ownership, or workflow automation when the process spans several tools.
Data Privacy Act basics for lead data
A prospect’s message may contain personal information even if the form asks only a routine question. Map which fields are collected, where they are stored and who can read them. Avoid asking for information the qualification task does not need. Your DPO or legal adviser should assess the appropriate processing basis, notices and request-handling arrangements.
Our Data Privacy Act and AI guide offers preparation questions and primary NPC references. A technical implementation does not establish legal compliance. The agreed workflow should reflect your approved processing arrangement, including retention, communication preferences and the handoff for requests concerning personal data.
Qualify without making promises
Define qualification in terms your staff already use: the service requested, relevant requirements and information still missing. Separate facts supplied by the prospect from the assistant’s interpretation. If a question is ambiguous, ask for clarification instead of filling the gap with an invented budget, deadline or purchase intention.
Test realistic inquiries, incomplete replies, duplicate contacts and requests to stop. The 20-questions demo can show how the assistant handles approved examples before a wider build is scoped. Use anonymized questions; a demonstration does not require unrestricted access to your customer database.
Built right and secure
Every build gets the same prompt-injection and data-access checks we offer as a standalone review. We examine the agreed feature, its source information and the actions it is permitted to take. Access is enforced by the surrounding application and connected tools; telling a model to keep information private is not an authorization check.
A security check does not guarantee that a system cannot fail. We define human approval, handling for uncertain output and a route for unsupported requests. Read about our AI security review and the Data Privacy Act and AI guide before deciding what customer or employee information the workflow should process.
What's included
The quotation identifies the workflow, sources, systems, approvals and test environment. Agreed deliverables include implementation, representative tests, access configuration, operating instructions and handover. We document connected accounts, known limits, staff escalation and how to pause the workflow.
Source preparation, AI usage, support and later changes are distinguished in scope. Scoped quote after a free discovery call.
How it works
Start with a free discovery call. We work remotely worldwide, with in-person meetings in Metro Manila. Scope English, Filipino and Taglish using approved examples. Describe the task, its owner and confusing cases. Agree permissions and tests before live access, using sample data and a test environment while behavior is developed.
- Discovery: discuss the current task, source information and people who own the result before choosing an implementation.
- Scope: agree the workflow, permissions, human approval points and tests your team will use to assess behavior.
- Build and test: evaluate real examples, missing information, hostile instructions and recovery in the agreed environment.
- Launch and hand over: document ownership and staff handoff, then agree any optional AI Care Plan coverage.
Scope and next steps

Our published PH pricing guide explains third-party price references and the factors to compare; it does not quote ChuuniX prices.
AI Care Plan / support after launch
Post-launch support is available on a retainer covering monitoring, updates, moving to new models as they become available and security updates. The AI Care Plan defines what is included rather than implying unlimited changes or an always-available support team. Knowledge updates, model and provider changes, and security re-checks are agreed against the workflow your team actually operates.
Keep a named owner for source information, connected accounts and human approvals. We agree how incidents are reported, which changes need a new scope and what is re-tested before release. AI usage and support work are distinct parts of the engagement. Scoped quote after a free discovery call.
FAQ
Do you guarantee leads?
No. We build the system that responds to and qualifies the leads you already get. We do not promise outbound prospecting, lead volume or sales outcomes. The engagement defines response behavior, qualifying questions, routing and handoff, with your team retaining decisions about pricing, negotiation and closing.
Can follow-up messages require approval?
Yes. Drafting and sending can be separate permissions. We can scope a workflow that prepares a message and context for staff, then waits for approval. We also define stop conditions, communication preferences and what happens when approval is declined, missing or no longer appropriate for the conversation.
Will it change CRM records automatically?
Only actions explicitly agreed in scope should be permitted. We identify the record, fields and conditions for a change, separating read access from write access. Sensitive updates can require approval. Your team needs a way to investigate duplicates, correct errors and stop repeated actions after a failed request.
Does this replace sales staff?
The workflow supports staff with repetitive inquiry handling and preparation. People retain pricing, negotiation, closing and exceptions outside approved rules. We define who owns each handoff and what information they receive. The scope should describe useful assistance rather than assume an assistant can take responsibility for the entire sales process.
Where do you work and how is it priced?
We work remotely worldwide, with in-person meetings in Metro Manila. Scoped quote after a free discovery call. We agree the channels, source information, permissions and testing before implementation. AI usage and optional post-launch Care Plan coverage are identified separately rather than implied to be unlimited within an unspecified package.
